How to Improve OCR Accuracy for Scanned Documents

OCR accuracy is mostly determined before recognition begins. A straight, well-lit page with sufficient resolution and the correct language usually matters more than repeatedly running the same poor scan.

Start with source quality

Aim for an effective resolution near 300 DPI for ordinary printed text. Tiny text may need more detail, while extreme resolution increases processing time without restoring detail that was never captured.

Flatten page curvature, avoid shadows across text and keep all character edges inside the image. A phone photo can work, but perspective distortion and uneven lighting make layout recognition harder.

02

Correct orientation, contrast and language

Rotate and deskew before OCR. Improve contrast carefully: aggressive thresholding can erase punctuation or join nearby characters. Select the actual document language rather than assuming English.

For mixed scripts, test a representative page before processing a long document. More language models can increase ambiguity and processing cost.

  • Test one difficult page first.
  • Retain the original scan.
  • Avoid repeated lossy image saves.
  • Use table extraction for structured grids rather than plain-text OCR.

Review the fields that matter

Do not judge accuracy only by reading a paragraph. Search for names, dates, decimal values, account numbers and headings that drive the next workflow.

A confidence score can direct attention, but manual comparison with the image remains necessary for important records.

Put the workflow into practice

Arrange source documents, select the pages you need, and create one PDF locally in your browser. Review the result before choosing any optional next step.

Frequently asked questions

Clear answers before you merge

Is higher DPI always better?

No. More pixels help only when they contain additional detail; very large images also increase memory and processing time.

Should I convert the scan to black and white?

Only after testing. Thresholding can help contrast but can also remove fine characters.

Does adding more OCR languages improve accuracy?

Not always. Use the smallest accurate language set for the document.

How should I check OCR quality?

Compare important names, numbers and representative passages against the page image.
