Start with generation evidence
Confirm that the converter created an output, report its byte size, and reopen it. Reconcile page count where the service reports it and compare representative pages with the source.
These checks detect obvious failures but do not prove standards compliance.
Inspect content that commonly changes
Review fonts, transparency, color, images, annotations, forms, attachments, metadata, and signatures. Pay special attention to small text, technical drawings, color-coded charts, and non-Latin scripts.
A visually similar page can still contain prohibited or missing PDF/A structures.
Run a profile-specific formal validator
Formal validation evaluates the generated file against the exact PDF/A profile. Save the complete report, validator name and version, and validation date with the record.
If no formal validator is connected, label the file as generated but not formally validated. Never convert an unavailable test into a compliance claim.
Resolve failures without hiding them
Validation failures can involve fonts, color spaces, metadata, encryption, actions, attachments, or malformed objects. Repair or regenerate the source and rerun the validator.
Keep failed reports during controlled remediation when audit history matters.
Put the workflow into practice
Arrange source documents, select the pages you need, and create one PDF locally in your browser. Review the result before choosing any optional next step.

Clear answers before you merge
Does opening the PDF prove PDF/A compliance?
No. It proves basic readability, not conformance with a PDF/A profile.
What should a validation record contain?
Keep the profile, validator and version, date, full report, source reference, and final file checksum where required.
What if formal validation is unavailable?
Label the output as generated but not formally validated and use an approved external validator before archival acceptance.
Can an encrypted PDF be PDF/A?
PDF/A prohibits encryption, so an encrypted source normally must be unlocked before compliant conversion.
