Prepare stable field and column names
Use clear spreadsheet headings such as Full Name, Employee ID and Start Date. PDF field names should describe the same business meaning, even if spacing or capitalization differs.
The Nexynto mapper normalizes names for its first suggestion, but a human should review every required field before processing a batch.
Choose columns, constants or intentional blanks
Map row-specific values to spreadsheet columns. Use a constant when every generated PDF needs the same office, department or reporting period.
Apply trim, title case, uppercase or lowercase transformations when institutional source data needs normalization. Leave a field unmapped only when it is optional and should keep its template default. Required fields are flagged during preflight.
Preview a representative row
Choose a row containing realistic names, dates and longer values. Generate a sample PDF and inspect its visible field appearances before starting the full batch.
A successful preview confirms the mapping mechanics, but it does not prove that every row is complete. Run the row audit as well.
- Review every required field
- Check dropdown and radio values
- Inspect long text for clipping
- Confirm the filename column
- Keep the source template unchanged
Put the workflow into practice
Arrange source documents, select the pages you need, and create one PDF locally in your browser. Review the result before choosing any optional next step.
Try Spreadsheet to Filled PDFsFrequently asked questions
Clear answers before you merge
Does the column name have to exactly match the PDF field?
No. Nexynto suggests normalized matches, and you can choose any spreadsheet column manually.
What is a constant value?
A constant writes the same value into a field for every selected spreadsheet row.
Can I reuse a school or HR mapping?
Yes. Export a mapping profile and import it when the compatible form and spreadsheet headings are used again.
Why should I preview one row?
It reveals mapping mistakes, invalid choice values and visible clipping before the complete batch is generated.
